Privacy Policy
Last updated: November 28, 2025
At VividAI, we take your privacy seriously. This Privacy Policy explains how we collect, use, and protect
your information when you use our Chrome extension and website.
1. Data Collection and Storage
VividAI is designed with a "Privacy First" architecture. Unlike many other meeting assistants:
- Local Storage: All your recordings, transcripts, and summaries are stored locally on
your device (in your browser's storage). We do not upload your meeting data to our servers.
- API Keys: If you use your own API keys (e.g., OpenAI, Gemini), they are stored securely
in your browser's local storage and are only used to make direct requests to the AI provider. We never
see or store your keys.
2. How We Use Your Information
We use the data solely to provide the functionality of the extension:
- Transcription: Audio data is sent directly to the AI provider you select (e.g., OpenAI)
for transcription. This data is subject to the privacy policy of that provider.
- Summarization: Transcripts are processed by the AI model to generate summaries.
3. Third-Party Services
VividAI integrates with third-party AI providers. When you choose to use a specific provider, you are subject
to their privacy policies:
4. Data Security
Since your data resides on your local device, it is as secure as your computer. We recommend keeping your
browser and operating system updated to ensure the security of your local storage.
5. GDPR Compliance (EU Users)
If you are a resident of the European Economic Area (EEA), you have certain data protection rights. VividAI
aims to take reasonable steps to allow you to correct, amend, delete, or limit the use of your Personal
Data.
Your Rights:
- Right to Access: You can request copies of your personal data.
- Right to Rectification: You can request that we correct any information you believe is
inaccurate.
- Right to Erasure: You can request that we erase your personal data, under certain
conditions. Since we store data locally, you can delete your data by clearing your browser storage or
uninstalling the extension.
- Right to Restrict Processing: You can request that we restrict the processing of your
personal data.
- Right to Object to Processing: You can object to our processing of your personal data.
- Right to Data Portability: You can request that we transfer the data that we have
collected to another organization, or directly to you.
Legal Basis for Processing: We process your personal data based on your consent (when you
install and use the extension) and our legitimate interest in providing the service.
Data Protection Officer (DPO): You can contact our Data Protection Officer at
support@vividai.tech.
6. CCPA Compliance (California Users)
Under the California Consumer Privacy Act (CCPA), California residents have specific rights regarding their
personal information.
- Right to Know: You have the right to request that we disclose certain information to
you about our collection and use of your personal information over the past 12 months.
- Right to Delete: You have the right to request that we delete any of your personal
information that we collected from you and retained, subject to certain exceptions.
- Right to Non-Discrimination: We will not discriminate against you for exercising any of
your CCPA rights.
Do Not Sell My Personal Information: We do not sell your personal information. We do not
share your personal information with third parties for their direct marketing purposes.
7. Biometric Information Privacy Act (BIPA)
VividAI may process voice data which could be considered biometric identifiers or biometric information under
laws such as the Illinois Biometric Information Privacy Act (BIPA).
- Collection and Use: We collect voice recordings and transcripts solely for the purpose
of providing meeting transcription and summarization services.
- Retention: We do not store your voice data on our servers. All processing is done
locally or via the third-party AI provider you select. We do not retain your biometric data.
- Consent: By using VividAI, you consent to the collection and processing of your voice
data as described in this policy. You represent that you have obtained all necessary consents from other
participants in your meetings.
8. Changes to This Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new
Privacy Policy on this page.
